Complaints, Appeals and Feedbacks

COMPLAINTS, APPEALS & FEEDBACK

Spectrum International University College (SIUC) is committed to providing a positive learning experience and maintaining high standards across all aspects of its academic and support services. We value student feedback and encourage students to raise concerns, complaints, suggestions, or appeals so that issues may be addressed fairly, transparently, and in a timely manner.

Students have the right to express their views and raise concerns without fear of discrimination, victimisation, or unfair treatment.

OUR COMMITMENT

SIUC is committed to ensuring that:

  • Student concerns are taken seriously;
  • Complaints and appeals are handled fairly, consistently, and impartially;
  • Matters are investigated appropriately and confidentially;
  • Students are treated with dignity and respect throughout the process;
  • Opportunities for improvement are identified through student feedback;
  • Outcomes and decisions are communicated clearly and promptly.

Where possible, concerns should be raised at the earliest opportunity to allow for timely resolution.

Student feedback plays an important role in helping SIUC continuously improve the quality of teaching, learning, facilities, student services, and the overall student experience.

Students are encouraged to provide feedback regarding:

  • Teaching and learning experiences;
  • Academic support services;
  • Campus facilities and resources;
  • Student welfare and support services;
  • Administrative processes;
  • Accommodation and campus life;
  • General student experience.

Feedback may be shared formally or informally throughout a student’s period of study.

Students may submit complaints, concerns, or feedback through a variety of channels depending on the nature of the issue and their preferred method of communication.

Programme Leader or Subject Lecturer

For academic-related concerns, students are encouraged to discuss matters with their Programme Leader or Subject Lecturer in the first instance, where appropriate.

Students may raise concerns relating to:

  • Academic services;
  • Administrative services;
  • Student support services;
  • Campus facilities and resources;
  • Accommodation matters;
  • Student welfare concerns;
  • Discrimination, harassment, or bullying;
  • Health and safety matters;
  • General student experience issues.

All complaints will be considered fairly and handled in accordance with University policies and procedures.

SIUC encourages concerns to be resolved informally wherever possible.

Many issues can be addressed quickly through discussion with:

  • Programme Leaders;
  • Subject Lecturers;
  • Student Affairs Department;
  • Relevant administrative departments.

Informal resolution is often the quickest and most effective way to address student concerns while maintaining positive working relationships.

Where a matter cannot be resolved informally, students may submit a formal complaint under the University’s Student Complaint Procedure.

The formal process is designed to ensure:

  • Fair and objective consideration of all concerns;
  • Appropriate investigation of issues raised;
  • Review of relevant evidence;
  • Clear communication throughout the process;
  • Transparent and reasoned outcomes.

Students will be informed of the outcome of their complaint following completion of the review and investigation process.

SIUC is committed to ensuring that complaints are acknowledged, investigated, and resolved as efficiently as possible.

Students will be:

  • Informed that their complaint has been received;
  • Kept updated on the progress of the investigation where appropriate;
  • Notified of the outcome and any actions arising from the complaint;
  • Advised of any further review or appeal options available to them.

All complaints are handled confidentially and with due regard for the interests of all parties involved.

Students who believe that an academic decision has been made incorrectly or unfairly may submit an academic appeal in accordance with the University’s regulations and procedures.

Academic appeals may relate to:

  • Assessment decisions;
  • Examination outcomes;
  • Academic progression decisions;
  • Procedural irregularities;
  • Extenuating or mitigating circumstances.

Students are encouraged to seek guidance before submitting an appeal.

Students who remain dissatisfied with the outcome of a complaint or academic decision may have the right to request a review or pursue further appeal in accordance with the relevant University procedures.

Information regarding appeals, reviews, and escalation procedures can be obtained from:

  • Student Affairs Department;
  • Programme Leader;
  • Student Handbook;
  • Programme Handbook.
  • Examinations Department (If Academic related issue)

For programmes delivered in partnership with external awarding bodies or partner universities, students will be advised of any applicable escalation routes available under the relevant partnership arrangements where appropriate.

SIUC is committed to protecting students who raise concerns in good faith.

The University will ensure that:

  • Complaints are handled confidentially wherever possible;
  • Information is only shared with those directly involved in investigating the matter;
